What Information We Collect

When you work with us as a candidate, we collect:

  • Basic contact stuff - name, email, phone number, LinkedIn profile
  • Career details - resume, work history, education, certifications
  • Assessment results - psychometric tests, leadership evaluations (only if you agree to take them)
  • Preferences - industry interests, location flexibility, compensation expectations
  • References - contact info for people who can vouch for your work

We only collect what's actually relevant to finding you the right role. We're not gonna ask for your blood type or favorite pizza topping.

From our client organizations, we gather:

  • Company details - business info, organizational structure, culture insights
  • Role specifications - job descriptions, required competencies, reporting relationships
  • Contact persons - hiring managers, HR leads, executives involved in decisions
  • Compensation packages - salary ranges, benefits, equity structures
  • Assessment criteria - what makes someone successful in your environment

This helps us find candidates who'll actually thrive in your specific context, not just check boxes on a job spec.

When you visit our site, we automatically collect some tech stuff:

Legal Compliance

Sometimes we gotta keep records for legal reasons - employment verification, contract fulfillment, compliance with Canadian privacy laws (PIPEDA and all that).

Important Note

We will NOT use your info for anything you haven't agreed to. If we want to use it in a new way, we'll ask first. That's just basic respect.

Who We Share Your Data With (And Why)

Okay, this is where people get nervous. Let's be crystal clear about when and why we share your information:

When you're a candidate, we share your profile with potential employers - that's the whole point. But here's how we do it responsibly:

  • We get your explicit permission before sharing your resume with any specific company
  • If you're currently employed, we're extra careful about confidentiality
  • You can tell us which companies are off-limits (like your current employer or competitors)
  • We only share what's relevant to the specific role

We've been around long enough to know that discretion is everything. We won't blow up your current gig.

We use some third-party services to do our work effectively:

  • Cloud storage providers - for secure data hosting (all Canadian-based servers)
  • Assessment platforms - for psychometric testing and leadership evaluations
  • Email services - for communications (we don't use free consumer email)
  • Background check services - only when authorized and required

All these providers are bound by strict confidentiality agreements and can only use your data for the specific services we've hired them for.

In rare cases, we might have to disclose information if:

  • We receive a valid court order or subpoena
  • It's required by Canadian law or regulation
  • It's necessary to protect someone's safety or prevent fraud
  • We're defending our legal rights in a dispute

This has happened maybe twice in our history, but we're legally required to mention it.

We absolutely do NOT:

Your data stays within our circle of trust. Period.

Where & How Long We Keep Your Data

Location

All your data is stored on secure servers located in Canada. We don't transfer candidate information outside the country unless you're specifically applying for international roles - and even then, we'll tell you first.

Retention Periods

How long we keep your info depends on our relationship:

Active Candidates

We keep your profile active as long as you're looking. Once you land somewhere or ask us to pause, we'll archive it but keep it for future opportunities (unless you tell us otherwise).

Placed Candidates

After we place you, we keep your info for 3 years minimum (for warranty purposes and potential future searches). We check in periodically to see how things are going.

Inactive Profiles

If we haven't heard from you in 5 years and you haven't responded to our check-ins, we'll archive your profile. We'll reach out before doing this though.

Client Records

We keep client engagement records for 7 years (Canadian tax law requires this). After that, we securely destroy everything except basic engagement history.

Want us to delete your data sooner? Just ask. We'll honor your request unless we have a legal obligation to keep certain records (like tax documents or contract details).

Your Rights (Because They're Actually Important)

Under Canadian privacy law (PIPEDA), you've got real rights over your data. Here's what you can do:

Access Your Data

You can request a copy of everything we have on you. We'll provide it in a readable format within 30 days. No charge for the first request.

Correct Mistakes

If something in your profile is wrong or outdated, tell us and we'll fix it ASAP. Your resume changed? Career goals shifted? Just let us know.

Delete Your Profile

You can ask us to delete your info anytime. We'll do it within 30 days, except for stuff we legally have to keep (like tax records if we paid you).
